2021 ACA FAQ

JOINING THE LIVE MEETING
Note: You must be logged into your AOCOO-HNS account to access the live portion of this event

  1. Login or Register with the website
  2. Visit the 2021 ACA Event Page
  3. On the events page, click "Join Meeting Here” for either Ophthalmology or Otolaryngology
  4. If prompted, enter the email used to register for the event and your access code (ACCESS CODE WAS SENT TO YOUR EMAIL)
    • Note: If you are not prompted for an email and access code, continue with step 5 below
  5. Click on "Join Meeting Now" button

HOW TO ACCESS ON-DEMAND LECTURES:

  1. Visit the On-Demand CME Area
  2. Click the lecture you would like to view

EVALUATION AND ATTESTATION:

An email will be sent to you on the last day of the event with a link. The link will direct you to A form where you will complete an evaluation and attestation. You will be able to directly download a PDF version of your certificate to your device.

WILL I BE ABLE TO WATCH THE LIVE EVENT AGAIN?

The live portion of 2021 ACA is being recorded and will be available to attendees post ACA.


LIVE Q AND A: MODERATORS AND SPEAKERS

You will not be given access as a moderator/speaker for the live Q and A until 10 MINUTES PRIOR to the live Q and A session of which you will be assigned to is taking place. You will be online as an attendee leading up to the live Q and A.

Joining as an attendee:

As a registered attendee for this event you will receive a welcome email with attendee joining instructions.

Joining as a moderator/speaker for live Q and A:

Please make sure to be logged in as an attendee prior to your assigned live Q and A session. 10 minutes prior to your Q and A session AOCOO-HNS staff will bring you up as a panelist through our back end. The word “panelist” is the moderator/speaker role in Zoom world. PLEASE MAKE SURE TO STAY MUTED AND KEEP YOUR VIDEO OFF.

Staff will communicate with you via the chat module on zoom to confirm that you are in the panelist role and to make sure you are ready to go live.

At the end of the last lecture that comes before the live Q and A session a “LIVE Q AND A” slide will appear. Once you see that slide appear please share your video and unmute yourself. The moderator will then welcome all and begin asking questions to speakers.

At the end of the live Q and A please stop sharing your video and mute yourself immediately.

Staff will return you back to the attendee role. RECAP:

  1. Be logged on as an attendee
  2. Staff will assign you to panelist (moderator/speaker)
  3. Check that video is off and audio is muted
  4. LIVE Q AND A slide will appear
  5. You will share your video and unmute your audio
  6. Moderator will ask speakers questions
  7. At the end of the session you will stop sharing your video and mute yourself
  8. Staff will return you to the attendee role

Moderator and Speaker role instructions:
MODERATOR

Moderator: Staff will assign you to the panelist role. As soon as you are assigned the panelist role, you will make sure you are muted and have your video off.

During the lectures prior to your Q and A session, attendees will have the opportunity to ask questions using the zoom Q and A module. AOCOO-HNS Staff will collect those questions. Once you are made a panelist 10 minutes prior to the assigned Q and A session, AOCOO-HNS staff will send you those questions via the chat module in zoom.

You will see the “LIVE Q and A” slide appear and you will unmute yourself and share your video.

Once speakers have appeared please begin the session. You will lead this session as moderator just as you would a live event. Please do a warm welcome in the beginning, advise attendees that questions being asked were collected from the lectures that were presented before this Q and A for that day and start asking speakers questions. Once all questions have been asked please wrap up the Q and A. Once the Q and A is over please stop video sharing, mute yourself and staff will assign you back to the attendee role.

If a speaker is not there to answer questions, we will collect those questions and email them to the speaker. Please let attendees know that the speaker was unable to attend the Q and A session, however we are following up with the speaker to answer that question and the answer will be sent to the person who asked the question.

SPEAKER

Speaker: Staff will assign you to the panelist role 10 minutes prior to the live Q and A session. As soon as you are assigned the panelist role, you will make sure you are muted and have your video off.

You will wait for the lecture prior to the Q and A session to stop, you will see a “LiVE Q AND A” slide appear and you will unmute yourself and start sharing your video.

The session moderator will begin the live Q and A session. Any questions that were asked during your lecture earlier that day will have been collected and our moderator will ask you those questions live. You will answer your questions. The moderator will end the Q and A session. You will then stop your video sharing, mute yourself and staff will assign you back to the attendee role.
